A leading not-for-profit care provider in the UK, supporting individuals with complex health and behavioural needs, engaged SysGroup to help explore how Artificial Intelligence (AI) and Machine Learning (ML) could support strategic decision-making, service delivery, and operational efficiency.
Objectives
- Educate leadership and operations teams on how AI and ML can be applied in a social care context.
- Generate Ideas through facilitated ideation sessions to uncover challenges and opportunities.
- Prioritise potential AI/ML use cases and define clear next steps.
Approach
The workshop combined foundational learning with collaborative exercises, including the ‘Crazy 8s’ method—a fast-paced ideation technique designed to stimulate creativity and produce actionable ideas. SysGroup facilitated conversations around data feasibility, business outcomes, and implementation readiness.
Workshop Outcome
As part of the engagement, a ‘Crazy 8s’ workshop was conducted—this method enabled rapid alignment across teams on both challenges and opportunities where data and technology could make a meaningful impact. Over 25 use cases were produced and assessed against two key criteria:
- Business value (i.e. potential to improve efficiency, outcomes, or revenue)
- Data feasibility (i.e. availability, structure, and accessibility of data sources)

- Data feasibility (i.e. availability, structure, and accessibility of data sources)
The following prioritised examples were shortlisted to form the foundation of an AI/ML roadmap for the organisation:
Use Case | Business Outcome | Data Feasibility |
---|---|---|
Staff Retention & Mobility | Reduce staff churn by predicting departures and identifying internal mobility opportunities | Available (HR dataset) |
Business Loss to Other Providers | Prevent revenue loss by understanding service voids and improving retention | Disparate and unstructured – challenging to retrieve |
Optimal Service Location Modelling | Identify ideal locations for new services based on staffing and business modelling | Available (HR + open-source data) |
No-Go Zones for Service Expansion | Flag unsuitable areas for expansion using demographic and operational data | Available (HR + open-source data) |
Mergers’ Digital Planning System Analysis | Extract insights from unstructured planning data to guide future decisions | Vendor-dependent; no current extract/API available |
Financial Intelligence (Post-Acquisition) | Gain insight into financial trends from acquired datasets | Available via CSV export |
Each of these use cases was documented with business and technical next steps, and incorporated into an internal strategy paper for leadership consideration.
Business Value Delivered
The workshop equipped the organisation with a clear AI/ML roadmap, enabling leadership to confidently prioritise data-driven initiatives with measurable outcomes. It created alignment across departments, clarified strategic priorities, and fast-tracked the client’s ability to operationalise AI concepts—laying the groundwork for long-term service innovation and cost efficiency.
Why This Workshop Worked
- Tailored to Sector: Examples and use cases were specific to the client’s operational environment.
- Action-Oriented: Emphasis was placed on realistic, feasible next steps.
- Cross-Functional Buy-In: Senior leaders and operational staff contributed to a shared vision.
